Most pipelines fail at the top. They target too broadly, use bad data, or ignore intent signals. Here's the exact framework I use.

Define Your ICP with Precision

Don't start with job title. Start with company fit: industry vertical, employee count (150–2,000 is the sweet spot for RevOps influence), revenue range, and tech stack indicators. A company using Salesforce + HubSpot together is usually in transition — that's a signal.

Layer in Trigger Events

Cold outreach without a trigger is noise. I look for: new VP Sales/RevOps/Marketing hire (last 90 days), company funding announcement, hiring surge in sales roles, or a recent product launch. Any of these = buying intent signal.

Cap Your Daily Volume

50 net-new contacts per day maximum. More than that and quality collapses. I'd rather send 50 highly personalized emails than 500 spray-and-pray. Volume is a vanity metric — pipeline is the only metric that matters.

Score Before You Touch

Run every account through a simple 3-factor score: ICP fit (0–3) + trigger event present (0/1) + tech stack match (0/1). Max score = 5. Only sequence accounts scoring 3+. This is how I prioritized 3,700 accounts down to a manageable, high-value list.

The GPT-4 Prompt Stack

These are the exact prompts I use. Copy them directly into ChatGPT — just swap the bracketed variables for your target's info.

Prompt 1 — Cold Email Opener (Personalized)
Write a 3-sentence cold email opener for [First Name] at [Company Name]. They recently [trigger event: e.g., "were promoted to VP of Sales" / "closed a Series B round" / "posted 6 open SDR roles"]. The email should reference a specific pain point related to [their situation] and position me as someone who solves it. Sound direct and human — no corporate filler, no "I hope this finds you well." End with a single soft CTA.
Prompt 2 — Subject Line Generator
Give me 7 subject line options for a cold email to a [job title] at a [company type] about [pain point]. Requirements: under 8 words each, no clickbait, no exclamation points, conversational tone. Include 2 that are questions, 2 that reference a specific outcome, and 3 that are curiosity-based.
Prompt 3 — Follow-Up Bump (Day 5)
Write a 2-sentence follow-up email to [First Name] who didn't reply to my first email about [topic]. Reference the original email briefly. Add one new data point or insight they haven't heard yet. No apologies for following up. End with a direct yes/no question.
Prompt 4 — Final Breakup Email (Day 14)
Write a "closing the loop" final email to [First Name]. Keep it to 3 sentences. Acknowledge they're likely busy. Leave the door open without being desperate. Make it easy for them to re-engage later with a single question. Tone: confident, no hard feelings.
Prompt 5 — LinkedIn Connection Note
Write a LinkedIn connection request note for [First Name] at [Company]. I sent them a cold email about [topic] on [Day 1]. The note should NOT pitch anything. It should be 2 sentences max: reference something specific about their work or company, and state why connecting makes sense. No "I'd love to connect" clichés.

The 5-Touch Sequence

Most reps give up after 2 touches. Most responses come at touch 4 or 5. Here's the exact cadence I run — multi-channel, spaced, never annoying.

Day 1

AI-Personalized Cold Email

3 sentences max. Trigger-based opener, one pain point, one soft CTA ("Worth a 15-min call?"). Verified email only — never guess.

Day 3

LinkedIn Connection Request

No pitch. Reference something specific about their profile or company. Just connect and be human. Don't mention the email.

Day 5

Email Bump

2 sentences. Reference first email. Add one new data point — a stat, a case study, a relevant news item about their industry. Direct yes/no CTA.

Day 8

LinkedIn Engagement

Comment on a post they made. Add genuine value — don't just say "great post." Or send a voice note if you're connected. No pitch, just presence.

Day 14

Breakup Email

"Closing the loop" — confident, no desperation. Leave the door open. One final easy question. This email often gets the highest reply rate in the sequence.
